Description

The Accountant is responsible for ensuring that the general ledger is updated at all times, transactions have been posted in the correct period and accurately. S/he will also ensure that all suppliers are properly and professionally managed. S/he ensures that the company delivers on its promise of delivering Accuracy, timeliness and conveniently exceeds its objectives both financial reports and non -financial targets

Areas of Responsibility

Governance & Finance

Define and improve the governance structures required to effectively manage, control and improve the general ledger function as follows; –

  • Responsible for ensuring that the general ledger is always updated, transactions have been posted in the correct period and accurately.
  • Ensure that the general ledger is closed by the 5th of the following month accurately in order to facilitate monthly and yearly reporting.
  • Liaise with the Engagement team for credit control to ensure that customer reconciliations are always prepared.
  • Custodian of the fixed assets registers to ensure that this is always updated regularly and posted to the systems.
  • Manage and maintenance of the petty cash; review of reports, ensure proper and daily update.
  • Ensure monthly bank reconciliations are prepared accurately and in a timely manner.
  • Preparation of weekly revenue reports every Monday afternoon for review by Finance Manager.

Ensure that the appropriate policies, processes and tools to govern and operate customer & supplier relationships resulting in;

  • Ensuring that all invoices are sent to customers immediately cover is placed, and monthly invoicing is closed by 3rd day and payments collected within 30 days.
  • Ensuring all customers balances are always updated and any query resolved within 5 days
  • Perform account reconciliations with customers and suppliers.
  • Monitor customer account details for non-payments, delayed payments and other irregularities and ensure resolved within 10 days.
  • Manage supplier payments and preparation of monthly reconciliations are forwarded for review

Submit monthly statutory return for Pension and Insurance Authority (PIA), Zambia Revenue Authority (ZRA) and National Pension Scheme Authority (NAPSA) to ensure compliance one day before the deadline.

 

Preparation of Statutory payments for annual licenses, tax obligations and national pension scheme before due date to avoid penalties.

Ensure periodic information sharing and reporting within the department and to management.

Strategy & Planning

  • Facilitate a robust and participate in business planning process that achieves alignment and clarity on execution throughout the organization.
  • Work closely with Business Support Officers on weekly cash flow report.
  • Perform all duties that might be allocated by the Head of Finance at all times.

Key Performance Indicators

  • Updated and accurate general ledger at all times.
  • Timely resolution of all suppliers’ issues and supplier reconciliations at all times.
  • Statutory obligation submission and payment before due dates e.g PIA, NAPSA, PAYE, WHT, VAT &Income Tax.
  • Timely and accurate invoicing clients at all times
  • Receivables Aging days of not more than 45 days.
  • Constant and timely cash collections from all banks.

Required Competencies

  • Academic Background: A first degree in accountancy, finance or other relevant business degree or full professional accounting qualifications ACCA/CIMA/CA-Zambia.
  • Experience required (minimum/maximum): 2 years accounting experience in an Insurance or financial service or supervisory role in an audit firm.
  • Knowledge of general accounting procedures and knowledge of Zambian Finance and Tax Law.
  • IT knowledge: Computer skills including the ability to operate spreadsheet and excellent knowledge of Microsoft Office products (word; excel; power point);
  • Good understanding of Accounting software’s Sage or Pastel.
