Job Description (Roles and Responsibilities)  




Main purpose of job:


Operational Lead for the Transport and Protocol Logistics team of the Corporate Services function at the British High Commission


Roles and responsibilities:


Reporting to the Deputy Corporate Services Manager, the post holder will perform, but not be restricted to, the following duties and responsibilities:


Transport:



  • Manage the Transport and Protocol section including line management of three logistics officers and proper record keeping of all vehicle files.

  • Ensuring daily vehicle checks including maintenance of vehicles in a clean and road worthy condition, fully completed logbooks.

  • Responsible for fuel management, monthly reconciliations and replenishing liquid fuel stocks in line with FCO procurement practice.


Protocol:



  • Accountable for all protocol administration associated with the diplomatic permits and IDs, customs clearance and registration of vehicles (official and private), insurance and road tax, applications for driving licences etc.

  • Accountable for the customs clearances UAF and freight, diplomatic bags (QM only), office equipment, vaccines and drugs and domestic pets etc

  • Drafting Note Verbales and submitting all the relevant paperwork to the relevant authorities.

  • Maintaining relations with key stakeholders related to protocol to ensure a smooth processing of documents and enacting of requests.


Budget Management:



  • Accurately forecast for activities of the section based on valid support documentation e.g. contracts, quotations, prior invoices and fleet documentation.

  • Accountable for closing off all PRISM activities on behalf of the section e.g. POs, Invoices on Hold(IOH) etc


Line Management:



  • Ensure that the Logistics Officers have challenging objectives and learning and development plans to strengthen their capacity to effectively deliver the functions assigned to them.

  • Managing poor performance accordingly and decisively






Essential qualifications, skills and experience  





  • Competency in Microsoft office i.e. Excel, Word, Outlook and power point

  • Willingness to undergo a security vetting process.
