Position : Procurement & Warehousing Officer – SHORT PERIOD ASSIGNMENT
(x1 Positions)

Duty Station : Gwembe- Southern Province

Role Purpose : The incumbent will be responsible for Stock & Warehousing Management including sourcing and procurement of programme supplies for the Southern Province Field Office in line with SCI policies and procedures. He/she will be reporting to the Response Team Leader.

Main Responsibilities:

Procurement & Administration

  • Support the field Office with sourcing and procurement needs in furtherance of timely delivery of the programme, this will entail, requesting for quotations, preparation of competitive bid analysis, documenting of procurement committee meetings minutes and processing of Purchase Orders.
  • Manage suppliers professionally and proactively, providing feedback to improve performance and leading periodic review meetings.
  • Ensure overall best value for money is achieved through a competitive and transparent procurement process considering quality, availability, time frame, transport and storage costs and technically advise the Procurement Committee accordingly.
  • Ensure all orders are processed in timely manner, inputted on Procurement Tracker, status updates are communicated to programmes, and that all relevant documentation is filed appropriately.
  • Ensure supplier files are routinely updated on performance and the Procurement Committee for evaluation of suppliers for future use undertakes that regular reviews of performance.

Warehousing and Stock Management

  • Tracking stock, maintaining receipt, warehousing, and distribution operations information.
  • Complies with donor and SCI standards on local warehousing, material handling requirements enforcing adherence to requirements; advising management and response team on the needed actions.
  • Manages inventory levels by conducting physical counts; reconciling with data storage system. Ensuring all inventory records are up to date as per donor & SCI requirement.
  • Safeguards warehouse operations and contents by establishing and monitoring security procedures and protocols.
  • Maintains physical condition of warehouse by planning and implementing new design layouts and inspecting programme supplies.

Field operations support

  • Support the set-up of temporary field operations in Southern province for the drought response interventions including identify field-base working space, accommodation, and fleet
  • Lead safety & security assessment in the Southern province to inform SCI operations
  • Act as field security focal point

Qualification and Experience

  • Bachelor of Science in Purchasing and Supply Chain Management or equivalent qualifications with at least 5 years’ experience in a Purchasing Department in an International organization.
  • Must be self-driven, honest, and have the ability to work well under pressure
  • Experience of working with funding from major institutional donors such as USAID, Swedish SIDA, EU. is added advantage
  • Should have a valid Driving License
  • Ability to work with limited supervision from line manager.
  • Fluency in written and spoken English and computer literate.
  • Commitment to and understanding of Save the Children’s aims, values and principles
  • Ability to produce high quality reports.

Level 3 – the responsibilities of the post may require the post holder to have regular contact with or access to children or young people.
