Its overall mission is to build families for children in need, help them shape their own futures and share in the development of their communities. To realise the mission of the organisation, SOS Children’s Villages Zambia is recruiting for Projects Advisor – Institutional Partnership Development.

Mission of the position

Under the leadership of the Head of Programmes (HoP), Projects Advisor – Institutional Partnership Development works with the Fund Development Manager, Communications and program team to support institutional funding in order to significantly diversify and increase the financial resources available for SOS CV Zambia programs. He/she develops and implements institutional partnership strategies and is a key collaborator to the growth of the funding portfolio as well as day to day donor relationship management with bilateral donors, international organizations, governmental institutions, embassies and any other concerned national or international organization. Specifically, the Projects Advisor – Institutional Partnership Development will:

Principal Job Accountability

Grant Acquisition

  • Identify institutional partnership opportunities at the national level (from bilateral, multilateral, international organizations and embassies and foundations)

  • Maintain and regularly update information on potential funding opportunities for SOS CV Zambia based on thorough research and donor scoping/intelligence gathering. Where relevant, this includes the integration of Corporate Social Responsibilities (CSR) in donor scoping.

  • Design concept notes and full proposals for both grants and contracts under the strategic guidance of the HoP and the National Director. This includes background research, stakeholder analysis, data collection & analysis, consultation processes, development of narratives, development of budget and production of all associated documents to a high standard in accordance with donor requirements.

  • Identify and coordinate capacity assessments of potential local partners to be included in donor proposals.

  • Assess and where possible develop partnerships and consortiums with other like-minded organizations for purposes of bidding for large donor projects. Coordinate and facilitate consortium formation and proposal development processes externally, with consortium and / or local implementing partners

  • Develop MOUs, pre-teaming agreements or other required documentation in relation to consortium formation and partnership development.

  • Develop and maintain good relationships with donors by ensuring regular communication, knowledge exchange and effective reporting.

  • Working with the HoP and National Director, be the link between SOS CV Zambia and institutional donors especially in management of institutional funding contracts.
  • Donor Contract Management

  • Prepare and submit IPD monthly updates and quarterly and annual reports to the National Director and the Regional Office International (ROI)

  • Coordinate, monitor and assess the quality of donor reporting making sure that donor requirements are met during the project implementation and phase

  • Responsible for Donor Contract Management (DCM) of institutional grants, including contract preparation, maintenance of donor contracts/records, developing consortium agreements, teaming agreements, and other donor contractual obligations.

  • Develop and maintain workspaces in the Grant Management System (GMS) for management of institutional contracts, grantmaking instruments and processes

  • Ensure all funding files, (electronic, system and paper) are complete and kept up to date.

  • Establish a close working relationship with the departments of Finance, HR and Programs as well as Program locations and provide advice to ensure that contractual obligations are met.

  • In consultation with the HoP and National Director, respond to the needs from IOR on reporting in relation to grant and contract information management.
  • Strategy and Capacity Building

  • Develop and implement an institutional fundraising and partnership strategy in line with the needs of SOS CV Zambia and ensure its infusion within the global IPD Strategy 2.0 and National Plans

  • Ensure that Executive Management and National Director are appraised of all strategic opportunities, challenges and risks in relation to potential funding opportunities, including grants and contracts.

  • Analyse the funding environment vis á vis SOS CV Zambia plans and priorities, conduct donor mapping of key donors and identify trends in funding and implications for SOS CV Zambia

  • Review and implement the recommendations of the donor market survey

  • Train and support relevant staff in DCM, Project Cycle Management and collaborate with Monitoring, Evaluation and Learning (MEL) Advisor in the RBM infusion to stimulate fund development

  • Collaborate with MEL Advisor in documentation of learning on the implementation of donor-funded grants and contracts.
  • Partnership Development and Networking

  • In partnership with the IDP and Communications teams, establish and maintain regular contact with donors by organizing donor roundtables, face-to-face meetings, attending donor forums etc

  • Support the HoP and National Director  to develop new and existing relationships with key donors and potential consortium partners

  • Negotiate collaboration with partner institutions and government departments in support of  SOS CV Zambia subject to certification and approval of the National Director

  • Represent SOS CV Zambia in sector level meetings (development and humanitarian/emergency) and other networking forums and use this to aggressively develop funding partnerships

  • Participate in regional IPD networking and training forums and contribute to development of new IPD strategies to improve practice.

  • In collaboration with the IDP and Communications teams, develop material to help promote SOS CV Zambia amongst potential donors, partners and key Government representatives, including briefings, capacity statements and presentations.
  • Academic education and qualifications

  • Full Grade Twelve School Certificate.

  • Bachelor’s Degree in Social Sciences, preferably in project management, economics, development studies, and/or other relevant concentrations.

  • Other relevant professional studies (alternate) equivalent to a Bachelor’s Degree in the relevant concentrations like projects management, grants management, economics, etc

  • A master’s degree will be an added advantage.
  • Experience

  • At least five (5) years’ experience in the development and/or implementation of grants management systems

  • Track record in developing concept notes and proposals to Institutional Donors

  • Proven experience in management of donor cooperative agreements, donor contracts, and substantive reporting.

  • Previous experience in child focused organizations is an added advantage.

  • A thorough understanding of program design and development especially in the sectors of Alternative Child Care, Sustainable Livelihoods, Gender and GBV, Child Protection, etc.
  • Competencies

  • Strong communication, facilitation, leadership and coordinating skills.

  • Awareness and understanding of social development issues.

  • Ability to lead capacity building activities/workshops

  • Demonstrated ability in meeting deadlines while producing quality results.

  • Ability to multi-task.

  • Excellent knowledge of relevant MS Office packages necessary for day-to-day works.

  • Strong oral and written communication skills in English, including evidence of quality report writing and presentations.
